The New Physical Items Experience in Alma

Over the past several releases, Alma has undergone a significant modernization of the Staff User Interface. One of the most extensive enhancements in this initiative is the complete redesign of the Physical Items experience, introducing new capabilities for searching, viewing, editing, and managing physical inventory. The new experience is designed to streamline workflows, reduce unnecessary navigation, and help staff users remain focused on their work.

Join this session for a live demonstration of the new Physical Items experience. We will explore the redesigned search interface, including progressive result loading, powerful new facets, enhanced sorting options, secondary searching, and support for labels. We will also examine the new Holdings' Items List and Title's Items List, which provide expanded functionality and direct access to a broader range of actions without leaving the current workflow.

The session will showcase the new item views, configurable display options, and the redesigned item editor, which enables staff users to edit items directly within their working context using side-by-side or full-page editing. We will demonstrate how all item fields are now available in a single editor, eliminating the need to switch between tabs and making item maintenance faster and more intuitive.

Whether you manage large physical collections or perform day-to-day item maintenance, this webinar will help you understand how the new Physical Items experience can improve productivity, enhance usability, and simplify physical inventory workflows throughout Alma.

Presenters: The webinar will be delivered by Yoel Kortick, Ex Libris Senior Librarian, with Lili Daie, Product Manager, accompanying to present the development and engineering perspectives.

Progress Details for Bulk Jobs and Job Management in Alma

This session will highlight the new Progress Details for Bulk Jobs feature introduced in the June 2026 Alma release, giving staff users enhanced visibility into the execution and status of bulk processes.

In addition to this new capability, the webinar will provide a practical overview of job management in Alma, including the various types of jobs in the system and how they can be controlled and monitored. We will explore options for scheduling both manual and automated jobs, configuring email notifications for job activity, and effectively managing and accessing the output of export jobs.

Time permitting, the session will also cover the Scheduled Jobs Status Widget and demonstrate how APIs can be used to retrieve and work with the scheduled jobs list.

Presenters: The webinar will be delivered by Yoel Kortick, Ex Libris Senior Librarian, with Shai Ben-Hur (Vice President, Product Engineering) and Baruch Picard (Product Manager) accompanying to present the development and engineering perspectives.

The Linked Open Data Editor for BIBFRAME - recent developments

In our March 5 webinar, we introduced the Linked Open Data Editor and demonstrated its capabilities as of the March 2026 release. Since then, rapid progress driven by an ambitious roadmap, community feedback, and evolving industry standards has led to significant new enhancements.

The Linked Open Data Editor for BIBFRAME is now fully operational and actively in use at a growing number of institutions.

Join this session for a live, up-to-date demonstration, where we’ll showcase the latest features and improvements. You’ll see firsthand how the Editor continues to evolve to meet real-world needs—and how you can take advantage of these advances in your own workflows.

Recent developments regarding Physical Holdings retention in Alma

Alma now supports retention at the holdings level in addition to bibliographic records and physical items.

Alma now supports the retention of the holdings record, in addition to the existing retention of physical items and bibliographic records.

The major highlights of this feature are:

  • The possibility to prevent the deletion of a holdings record containing a retention note, so the information in the holdings record is not lost.
  • Operators attempting to delete a holdings record that is committed to retain will be notified of its status.

The ability to prevent deletion of holding records eases the management of holdings records for institutions that maintain their retention information in the holdings record.

Note that this functionality is in addition to and complements the existing Bibliographic record and physical inventory retention in Alma.

The Linked Open Data Editor for BIBFRAME

Introduction and live demonstration of creating and editing BIBFRAME records within Alma.

Using the new Linked Open Data Editor for BIBFRAME Librarians will be able to create and edit BIBFRAME records (work and instance) in a new editor.

Highlights in the new Linked Open Data Editor for BIBFRAME include:

  • A fully integrated linked open data editor as part of Alma and Alma workflows.
  • Creation of templates based on the ontology.
  • Metadata creation in a form-based interface.
This will have a significant impact on library workflows, as librarians will be able to create BIBFRAME works and Instances as part of the metadata creation workflow inside Alma.

During this session we will have a live demo of creating and editing BIBFRAME records and templates.

AI based tools in Primo VE NDE

  • The Primo Research Assistant helps users find an easy starting point for their research by leveraging the power of generative AI. The Primo Research Assistant provides both information about a topic as well as relevant related resources
  • The Natural Language Search ("Ask Anything") enables users to formulate queries in normal spoken language, and automatically converts them into the structured format compatible with Primo’s Advanced Search.
  • Both entities use a Natural language Search Query

During this session we will show various aspects of both of these tools, via a live demo and interactive discussion.  We will both a) show current features already available to the Primo community and b)  discuss roadmap plans for both features.

Customized Repository Search Bibliographic Indexes

With this development each institution can customize bibliographic indexes to include those field(s) which are desired by the institution.

Before this development, the only way to retrieve bibliographic records with non-indexed specific values in specific fields and subfields was to run an indication rule on a set.  Now a specific index can be created with the desired field(s) and then that index can be used to search for the desired records.

This will answer the request of many Ideas Exchange requests including:

This session will be delivered by Yoel Kortick and Erez Shabo.

The new "Relative Date Index" in Alma

A new index allowing for the staff user to search entities via an "X days ago" relative date index has already been added (Nov. 2025) to the various 'Titles' searches. This relative date index will also be added during 2026 to additional entities including Purchase Order Lines.

During this session we will demonstrate various use cases of the relative date index, including creation of a "New Resources List" in Primo using a logical titles collection.

We will also look at a specific use case which has been desired by the Alma community for several years: the ability to use this index to create a "New Resources List" in Primo (this is sometimes called a "New Books List"). We will see that this can be done by making a "logical titles collection" based on a set which uses the new relative date index. We will look at this process step by step by creating such a "new resources list" live during the webinar.

This development originated from the Ex Libris Ideas Exchange: Create Alma search queries and sets with relative dates.
